Step 01

Photograph the whole area from safe positions

Begin with wide views that show the surface, building elevation and surrounding access. Add close photographs of defects or staining only from normal ground or indoor positions; do not climb, lean out or walk on fragile structures for an enquiry.

  • Capture complete elevations and transitions.
  • Include cracks, loose joints, flaking and damaged seals.
  • Avoid faces, number plates, documents and security details.

Step 02

Name the material, condition and previous treatment

Use invoices, installer records or product information where available. If the material is uncertain, say so. Previous sealing, paint, oil, biocide or repair work can be more useful than a guess about the stain.

  • Record age and material where known.
  • List earlier cleaning, coating and repairs.
  • Separate visible facts from assumptions.

Step 03

Map access, height and the people using the area

Show gates, narrow passages, steps, extensions, parking, public paths and sloping ground. HSE says work at height should be avoided where reasonably practicable and planned by competent people using suitable equipment.

  • Measure narrow gates or passages where useful.
  • Note pets, shared paths and public-facing entrances.
  • Leave equipment selection to the provider.

Trace water, drains and sensitive surroundings

Identify surface-water drains, foul or combined connections where known, soakaways, water butts, planting, ponds and neighbouring land. GOV.UK says contaminated water must not cause pollution and only clean water should enter surface drains or soakaways.

  • Map the direction of fall and visible drains.
  • Flag planting, ponds and shared boundaries.
  • Ask the provider to explain runoff and waste controls.

Turn expectations into inclusions, exclusions and questions

List the areas you want reviewed, the result you hope to discuss and any timing constraints. Keep optional products, repairs, sealing, re-sanding, internal access and ongoing frequency as separate decisions.

What photographs should I send?

Should I move everything before requesting a quote?

No. Photograph the normal layout first, then ask what needs moving. Do not move heavy, fragile or unsafe items without appropriate help.

Do I need to identify every drain?

Map visible drains and water routes and say when the connection is unknown. The provider should determine suitable controls rather than relying on an unverified assumption.

Can I choose the cleaning chemical myself?

Product choice needs a task, material and exposure assessment. HSE notes that some cleaning products can be irritant, corrosive or linked to allergy or asthma, so the professional user should confirm controls and label-led use.

What should I leave out of the demo builder?

Do not enter names, email addresses, phone numbers, postal addresses, access codes, payment details or other personal or security information.
